Planning Deliveries

  1. In order to confirm your order with Autarco and plan your delivery, you will need to accept the project’s quote. You may sign the quote PDF, scan it and mail it to orders@autarco.com, but the easier way is to accept it directly in Helios.
  2. When you accept a quote you will be asked to confirm your expected delivery details.
  3. The accepted order will be reviewed and you will receive an order confirmation, including any payments that are required to be made before delivery.
  4. Once financial conditions are met, the order is “released” for delivery according to your delivery instructions.
  5. After delivery (fulfillment) has been completed, the serial IDs will be automatically uploaded to Helios and you can optionally choose to receive a pdf packing slip.

On the project page, click on the quote you would like to accept. Helios will now show you the quote page with all relevant details. When you click on the “Accept” button a confirmation window will appear with the following fields;

  • Purchase number: For your own administration, will be shown on our packing slip and invoice for this order.
  • Memo: Any comments you want to add for our operations department.
  • Delivery Terms:
  • Delivery Time: Standard between 9:00 and 17:00, you may update this if you require a timed delivery. Extra costs may be charged.
  • Delivery with forklift:
  • Delivery address: Select either one of your company addresses, the installation address or enter a new one.
  • Delivery contact name: Who we should contact regarding delivery at selected location.
  • Delivery contact phone: Phone number of delivery contact.
  • Preferred delivery date: This is automatically filled with our earliest possibility of delivery, please update when this date is further away in the future, even when not known exactly.

Once all fields are completed, you need to complete the three checks and proceed to accepting the order by clicking ‘yes’. By doing so, our operations department will get notified about the order and the order will be confirmed with you. We now have a legally binding agreement.

Delivery terms can be selected during quote creation and quote acceptance. During quote creation the following fields can be set:

  • Delivery options: Delivery (DAP) or pick up (EXW)
  • Delivery moment: Standard (between 9AM-5PM) or timed delivery
  • Delivery with forklift: with or without.

When the quote is created, costs for delivery are shown in the quote, including additional costs for timed delivery (€70,-) and/or forklift (€50,-) if selected.

During quote acceptance, the selected delivery preferences are shown in a pop up window, where they can be changed one last time. When changes are made during quote acceptance, the new values will be shown in the quote overview after it is accepted.

In Helios the preferred addresses for billing and shipping can be edited on the customer profile.

After log in, click on this link. You can also click on “profile” in the upper menu bar. Next, click on “edit” in the top right corner. In the drop down you can select “Addresses”.

Here you can add new addresses, add labels, select your preferred options, and save them.

During quote acceptance the Default shipping address will be showed as one of the three standard options. The Default billing address will be shown on the invoices.

When a quote is accepted an order confirmation will be sent within 24 hours on working days. The order confirmation will state whether:

  • The order is financially released for delivery
  • A payment on outstanding invoices is required for delivery
  • A deposit is required for delivery

Payments before delivery need to be made three days in advance of the actual delivery. Please contact accounts@autarco.com for any questions.

Serial IDs are populated automatically in Helios after fulfillment.

In addition, packing slips, including serial IDs, can be automated to be emailed at 8pm every day. The Packing Slips are emailed to your operational contact.

Flashlists can usually be provided prior to delivery if the order is for full containers. Please request from the Operations team via operations@autarco.com.
